Job Summary: The role of the Conference Planner is to manage all aspects of the annual National Health Care for the Homeless Conference and Policy Symposium.
<br>
<br>

Responsibilities Include:
<br>
<br>
I. Oversee and participate in all aspects of the National Health Care for the Homeless Conference and Policy Symposium (hereafter National Conference) planning processes.*
<br>
a. Participate in and staff the Core Conference Planning Committee.
<br>
b. Participate in meetings of the Education Committee.
<br>
c. Facilitate the content planning process for the National Conference in collaboration with appropriate staff and/or committees.
<br>
d. Develop and implement overall pre-conference and conference schedules, including workshops, keynotes, field trips, poster sessions, roundtables, arts and entertainment, and special events.
<br>
e. Coordinate timely publication and distribution of conference materials, both print and web media as appropriate. (e.g. conference announcements, presentation materials, programs, packets, totes, and handouts)
<br>
<br>
II. Oversee selection of the venue for annual National HCH Conference and Policy Symposium (hereafter National Conferences), negotiation of the contract, and all logistics involved with holding the Conference in that venue.*
<br>
a. Develop and supervise contracts or agreements with vendors, speakers, workshop presenters, field sites, the audio visual company, and event locations as necessary to implement the Conference.
<br>
b. Recruit, train, and supervise volunteers from the HCH field to assist with the National Conference in various capacities, such as assisting in registration, monitoring workshops, staffing resource tables and helping with site tours or other special events.
<br>
c. Collaborate with the Administrative Team to coordinate and track the shipping of all supplies and signage for the Council to and from the National Conference venue.
<br>
d. Collaborate with the Administrative Team on registration procedures, audio-visual equipment, and session and sleeping room assignments and payment.
<br>
<br>
III. Oversee CME/CE accreditation for the National Conference.*
<br>
a. Complete all applications for accrediting bodies relevant to the National Conference.
<br>
b. Maintain communication with accrediting bodies before, during, and after the National Conference.
<br>
c. Ensure on-site adherence to accrediting bodies' standards at National Conference site.
<br>
d. Coordinate with staff and vendors to utilize CME/CE tracking software.
<br>
<br>
IV. Serve as the Council's representative at the National Conference to respond to and problem-solve issues as they arise with the venue staff and/or Conference participants.*
<br>
a. Manage/oversee on-site registration.
<br>
b. Coordinate conference resource rooms.
<br>
c. Respond to needs of volunteers to ensure their duties are adequately carried out.
<br>
<br>
V. Oversee follow-up activities after the National Conference has concluded.*
<br>
a. Prepare an overall report of the Conference, including numbers of attendees at each workshop, results of the Conference evaluations, and recommendations based on lessons-learned.
<br>
b. Ensure speakers receive thank-you letters for their roles in the Conference, evaluation form results from their presentations, and agreed-upon reimbursement for costs.
<br>
<br>
VI. Consult with other staff and collaborating agencies on planning regional conferences and other training events.*
<br>

The Girl Scouts of Middle Tennessee is seeking a Part Time Database Administrator to support our Fund Development Department. Work hours are expected to be 25-28 hours a week.

Responsibilities Include:

- Enter and ensure accuracy of all information onto Raisers Edge database
<br>
- Manage gift entry on database for donors, corporations and foundation gifts.
<br>
- Prepare thank you acknowledgement letters within 24 – 48 hour maximum
<br>
- Provide accurate and detailed information for annual audit
<br>
- Organize and maintain paper and electronic files of fund development
<br>
- Create and maintain spreadsheets, reports and statistical reports using Raisers Edge and Excel
<br>
- Reconcile fund development reports with accounting on a monthly basis
<br>
- Assist with mailings to donors
<br>
- Track grants through deadlines, gift receipting and reporting using Excel grant tracking form
<br>
- Assist with coordination of fundraising events and day of event
<br>
- Assist VP of Fund Development in administration tasks as necessary
<br>
- Maintain complete confidentiality of all donor information
<br>

Qualifications:
<br>
<br>
- Bachelors degree preferred
<br>
- At least 2 years experience working with Raisers Edge software for database management strongly preferred
<br>
- Working knowledge of Word, Excel and Power Point necessary
<br>
- Non-profit experience a plus
<br>
- Must be detail oriented and extremely organized
<br>
- Must be willing to work odd hours as necessary for events and special projects
<br>
- Must be creative, have ability to multitask and be a self starter
<br>
- Must have ability to handle confidential information properly
<br>

Purpose:

•To assist in ministering to the spiritual and pastoral needs of St. Paul’s 7th – 12th graders and their families (Currently we have 60-70 that rotate through our doors) by building relationships corporately and individually.

•To provide assistance and support in the implementation and communication of youth ministry programs.

Hours:

•20 hours a week (allowing for flexibility from week to week based on youth ministry activity level)

•Lead, Train and Prepare for the summer pilgrimage in mission.
<br>
•Responsible during times that the Minister for Youth is away.
<br>
•Assist in administration as is necessary.
